When business is running smoothly, all is well. Processes are flowing as expected, the automatic identification and data capture (AIDC) equipment is working properly, and inventory is coming and going. You think you know what needs to be done if something goes amiss, but have you tested that theory?

In business, it’s never a matter of if something might happen, it’s a matter of when. When your AIDC equipment and processes break down, your response can drastically impact effectiveness, productivity, and profits. Some businesses are more successful with quick responses than others. What do they have that other businesses don’t?

They have tested plans, a budget, and a reputable AIDC product and solution company to help them with asset management and repair. They are prepared for the inevitable, and Imprint Enterprises helps them along the way.

The final action you can take to prepare for AIDC equipment and processes downtime is to test your planned responses, the action plans you created.

Preparation is Key

Are you prepared written on a notebook

You performed an assessment, created action plans, and built a budget around your automatic identification and data capture (AIDC) equipment and processes. The final action you can take to prepare for AIDC equipment and processes downtime is to test your planned responses, the action plans you created. Plans always look good on paper, but reality can be an entirely different situation when they are acted upon. And it is easier to adjust response plans before a real situation happens.

Documentation & Communication

Working through the steps of assessing equipment and processes, creating action plans, and estimating budgets can leave you with a stack of notes. The documentation you compiled, combined with the information from your certified AIDC product and solution company, should be organized and prioritized to provide further clarification within your action plans to create more appropriate responses.

Before testing begins, set a meeting with the appropriate team members to bring their thoughts and suggestions to the table. Incorporate the most constructive feedback into your response plan before moving into the testing phase.

Testing! 1, 2, 3, Testing!

Find a safe and secure method to test your response plan that will not lead to production interruption. Ensure the testing is approved by management as needed. Set a test schedule and notify all personnel in advance so there is no unnecessary panic or confusion. This includes notifying your AIDC product and solution company if you’re anticipating calling them on-site to be a part of the test.

Identifying two observers/recorders

The role of these two individuals is to watch the response team as they work through the action plans and take notes on any areas that might need adjustments. When deciding who to select, consider:

    • One person who has no working knowledge of the process nor had active involvement in creating the response procedure.
    • One person who has intimate knowledge on processes and the action plans.

Combining these perspectives will provide greater insight on how the testing went and ways to improve action plans.

Revising the Plan

Once the testing has been completed, ask everyone involved for feedback on how they thought it went:

    • What could have been done differently?
    • What information was missing or could have more clarity?
    • Who else might have been a valuable person to include?
    • What worked, what didn’t work?

Revise the action plans based on the feedback received and be sure the newest versions replace the older versions, saved in the designated storage place. Communicate all changes to key players to ensure everyone is aware.

By having a plan that has been communicated and supported, in addition to being tested, your business will be better prepared to handle the worst-case scenario, managing it effectively and reducing the production downtime cause by the AIDC equipment and processes.
